At Novatech, we’re looking for an Operations & Rostering Assistant with a great attitude, strong attention to detail, and the drive to learn and grow in a fast-paced operational environment.

You don’t need to know everything already. What matters most is that you’re proactive, adaptable, calm under pressure, and excited to build a career in operations and coordination.

Importantly, we’re currently advertising two versions of this role – one for an assistant and one for an experienced professional. There is only one position available, and we’re genuinely open to appointing the right person at either level depending on skills, experience, and potential.

The Role: The Backbone Behind the Scenes

Before the lights go on and the bass drops, someone needs to help make sure the right crew, equipment, travel, logistics, and schedules all come together smoothly. That’s where you come in.

This is a highly administrative and coordination-focused role. You’ll spend a large portion of your day managing schedules, updating systems, coordinating logistics, communicating changes, solving problems, and helping keep multiple moving parts organised.

This role would suit someone who enjoys being busy, loves staying organised, and takes pride in getting the details right.

You’ll be supported by an experienced team while developing your skills in rostering, workforce coordination, logistics, and live event operations.

Here’s what you’ll be doing:

  • Rostering & Scheduling: Supporting the coordination of shifts for permanent and freelance crew across multiple projects and events.
  • Administration & Operational Support: Supporting a wide range of general administrative and coordination tasks that help keep operations running smoothly. This includes raising purchase orders, maintaining records and reports, managing the distribution and tracking of official Novatech uniforms, and assisting with facility access, staff lockers, uniforms, and parking allocations.
  • Problem Solving & Coordination: Helping respond to last-minute changes, supporting operational needs, and finding practical solutions when plans shift.
  • Payroll & Leave: Assisting with timesheets, TOIL, staff leave, and maintaining accurate records.
  • Compliance & Training: Helping keep licences and certifications up to date, coordinating training bookings, and supporting safety and compliance requirements.
  • Travel & Freight: Assisting with crew travel, accommodation, vehicle bookings, freight logistics, and event requirements.
  • Out-of-Hours Coordination: Live events don’t always run 9-5. Early starts, late finishes, and occasional weekend work are part of the industry, and our team works together to deliver when it counts.

Who You Are

You’re organised, reliable, and eager to learn. You enjoy helping things run smoothly, can juggle multiple tasks at once, and don’t get flustered easily when things get busy.

You’ll thrive in this role if you:

  • Have strong organisational skills and attention to detail.
  • Enjoy administration, coordination, and problem solving.
  • Are proactive and willing to jump in and help wherever needed.
  • Communicate clearly and professionally with different people.
  • Can manage competing priorities and stay calm under pressure.
  • Are confident using technology and picking up new systems quickly.
  • Have experience in administration, scheduling, hospitality, customer service, logistics, retail leadership, or similar fast-paced environments.
  • Want to learn, grow, and build a long-term career in operations and live events.
  • Bring a positive attitude, strong work ethic, and team-first mindset.

Experience in rostering or workforce coordination is helpful, but not essential – we’re more interested in finding someone with the right mindset and potential.
